What are Inventory Transfers and what do their different statuses mean?
All deliveries of goods into fulfilmentcrowd centres need to be pre-advised using Inventory Transfers
We define any deliveries we receive from either yourselves or your suppliers as an “Inventory Transfer”. Inventory Transfers are your way of advising us of the stock you are expecting us to receive. This allows our “Goods In” teams to ensure we have sufficient capacity in terms of both unloading space and resources to manage your delivery when it arrives.
Importantly, the Inventory Transfer also allows us to tell you what we haven’t received, so that you can chase the delivery with your supplier.
For every item we receive, we scan the item and our systems automatically reconcile the items received to those for which we were expecting delivery. At the end of our “receipting” process, our systems will inform you of any items we were expecting to receive that we did not (under deliveries) and also inform you of any items we received for which no Inventory Transfer existed or where the quantity we received exceeded that on the Inventory Transfer (over deliveries).
You can monitor the status of your transfers, create new transfers and manually cancel or edit your transfers, via the Transfers option within the fulfilmentcrowd platform.
When accessing the Transfers menu option, you will be presented with a list of tabs, each of which contains a different subset of your Inventory Transfers, which are displayed as rows within a grid. To view further information and to perform actions against an transfer, click on the row to open the details view.
Transfer Status
When reviewing your Transfers, you will be presented with a selection of different tabs. For the most part, each of these tabs contain transfers of a single status. However, the “Open” Tab will contain all transfers that have not yet been completed or cancelled. The rows on this Tab include a Status column that defines the specific status of each open transfer.
The different statuses are as follows:
- Draft - When creating an Inventory Transfer on the system, it will automatically be assigned a status of “Draft”. This allows you to take your time during the creation process and you are free to save and exit the transfer and return to it at a later time, without worrying about it effecting our Goods In teams. To send the transfer to us, click the “Submit” button from the transfer details screen.
- Pending - Transfers submitted to our systems which exceed a certain size will need to be booked in with our Goods In team (see Booking in a Transfer). Transfers with a Status of Pending are awaiting our Goods In team to confirm that we can accommodate your delivery.
- Expected - Once you have submitted a transfer to us and where we have approved the delivery (where required), the transfer’s status will be updated to “Expected”.
- Received - As soon as your delivery is received at our doors we will update its status to “Received”. It is at this point that our SLA clock starts ticking for us to get your delivery broken down and put away.
- Complete - As soon as we complete the receipt of an item on your delivery it will become available for your orders. Any Back Orders will automatically be released and stock updates will be sent to your channels. For larger deliveries, you may see that part of the delivery is completed, whilst the rest remains in Received. This allows you to quickly see exactly which items we have put away. You will receive a notification at the end of each day advising the items we have receipted. Upon completion of a receipt, you will also be advised regarding any Under or Over deliveries.
- Cancelled - Cancelled transfers are retained by the system for you to review as necessary.
